Best AI Productivity Tools

Find the best AI productivity tools for the job in front of you: taking notes in your meetings, answering questions as an assistant, running projects for a team, planning your calendar and inbox, or analysing your data. Each kind is ranked only against its own, on what it does, where the AI sits on the plans, what the cheapest plan costs and whether the vendor trains its models on your work. How we score.

3 publish too little to rate

They are still compared and still count towards the averages. We publish no score, because too much of one would be our guess rather than their figures. Not publishing is not a mark against the product, but it is what you cannot find out.

How to choose an AI productivity tool

Productivity AI is five different kinds of tool, so name the job first, then check what the plan you will really use allows and where your notes and calls end up.

  1. 01

    Name the job

Meeting assistants such as Fireflies or Granola take notes on your calls. Assistants such as ChatGPT, Claude or Perplexity answer questions and write. Work management tools such as ClickUp, Notion or Asana run a team’s projects. Reclaim and Motion plan your calendar, and Rows and Julius analyse your data.

  2. 02

Price the plan you will really use

Free plans usually cap something: transcription minutes on meeting tools, messages on assistants, members on work management tools. On team tools, check whether guests and clients need a paid seat, because on some they do after the first few.

  3. 03

Your calls and files are data

A meeting assistant records everyone on the call, so check how it asks for consent and how long recordings are kept. And read whether the vendor trains its models on your notes, files and recordings, because some do unless you switch it off.

Scoring

How we rate AI productivity tools

Every score on this page is out of 100 and worked out from what each vendor publishes, never from a demo or a sponsor. Each kind is scored on its own split of the points. Below: where the points go, every check behind them, and how the tools above did on each. Every rule, in full

AI assistants: where the 100 points go

What it can do

What it can do: making images, deep research reports, voice conversation, memory across chats and projects that keep files and chats together. Web search, file analysis, running code and agent tasks are on all of them, so they earn no points. How many models it offers is not scored: a reseller of other companies' models would win on quantity alone.
