Todoist is a to-do list and task manager for one person or a team, with AI that captures tasks from your voice, emails and notes and turns vague tasks into clear ones. It has a free plan, and the AI comes included on Pro rather than as an add-on. What decides whether it suits you is whether you want a fast, focused task list that hands bigger AI work to the assistants you already use.

What is Todoist?
Todoist is made by Todoist Inc. It runs on the web and has apps for Windows, Mac, Linux, iPhone, iPad, Android, Apple Watch and Wear OS, plus browser extensions and email add-ons. Everything syncs to a Todoist account.
The app is available in 19 languages: English, Chinese (Simplified and Traditional), Czech, Danish, Dutch, Finnish, French, German, Italian, Japanese, Korean, Norwegian, Polish, Portuguese (Brazil), Russian, Spanish, Swedish and Turkish.
Managing work in Todoist
Tasks live in projects and show as a list or a board on every plan, with a calendar layout on Pro and Business. Smart Quick Add, reminders and recurring due dates handle the everyday work of getting tasks in, and tasks and projects carry comments and file uploads. Todoist has no documents or wiki and no forms.
There is no built-in timer. Pro adds task durations, and time tracking comes through integrations. Rule-based Todoist Automations is a Pro beta open only to customers admitted from a waitlist.
The AI is a set of assistants. Ramble lets you speak your tasks, and Todoist can turn a photo, a PDF or text such as meeting notes into a task list by pulling out the action items. The free plan gets up to 10 sessions a month shared between Ramble and Task Capture Assist, while Pro and Business get unlimited use within fair use limits. Todoist does not record or take meeting notes itself.
Pro and Business add Todoist Assist for busywork automations, Task Assist to rewrite a vague task into something you can start right away, and Email Assist, which turns forwarded emails into tasks. Filter Assist, which builds a task filter from a plain-language request, is free. Todoist's AI reaches models from AI providers through AWS Bedrock and Google Cloud Vertex AI.
Todoist's own AI does not run agents or answer questions about your tasks, and its search covers Todoist only. For that, its official MCP server lets Claude, ChatGPT, Copilot, VS Code and any other MCP-compatible client read and manage your tasks.
Working with other people
On the free plan, up to 5 people can share a personal project. Business gives every member everything in Pro, plus a shared team workspace with up to 500 team projects, and a free team with lower limits can be set up on any plan. People outside your organization can join specific projects as guests for free.
Todoist has more than 90 integrations, including Google Calendar, Microsoft Teams, Slack, Zapier, Outlook, Trello, Jira, Reclaim.ai and Sunsama, along with the Claude and ChatGPT connectors. Developers get a mostly RESTful API for tasks, projects, sections and comments, with official Python and TypeScript SDKs, a CLI and webhooks.
Todoist pricing: what each plan gives
The Free plan includes 5 personal projects, Smart Quick Add, reminders, list and board layouts, 3 filter views, one week of activity history, 5 MB file uploads and up to 10 Ramble and Task Capture Assist sessions a month.
Pro is a one-person plan at $7 a month, or $5 a month billed yearly ($60 a year), with a 7-day free trial. It adds the calendar layout, task durations and the full set of AI assistants. Business costs $10 per user a month, or $8 per user a month billed yearly ($96 a year), plus local tax, with a 14-day free trial. It adds the shared team workspace. No separate AI add-on is sold on any plan.
Privacy and security
Todoist does not train on your data. Its own words are "No peeking, auditing, or training on your data," and its AI providers have also committed not to train on data processed through them.
Todoist is SOC 2 Type II certified and complies with the GDPR. Sign-in is by email and password or a Google account, and there is no SAML single sign-on on any plan, including Business. Support runs through a contact form and a help center that covers the app, the AI features and billing.
Who Todoist suits
Todoist suits individuals and small teams who want a quick, uncluttered task list on every device they own, with AI that saves typing: speak your tasks, forward emails, snap a photo of notes. It also suits people who already work in Claude or ChatGPT and want those assistants to read and manage their tasks through the MCP server.
It suits less well teams that want one tool for docs, forms, time tracking and automations, since Todoist has none of those built in and its automations are a waitlist beta. Companies that require SAML single sign-on will not find it on any plan.
