How to choose an AI productivity tool under $30 a month

With up to $30 a month you can afford one solid tool or two modest ones, but the plans measure value in very different units. Work tools sell seats and an AI tier, meeting recorders sell hours or notes, assistants sell multiples of free usage, and calendar apps sell agents or credits. The difference that matters most is rarely the price. It is what each plan counts, what it holds back, and what the vendor does with your text. This guide works through those points and ends with practical pairings.

Start with the job, not the tool

Five jobs cover nearly everything on this page, and a good plan for one is often wasted on another.

  • Running shared work. Wrike, ClickUp, Asana, monday, Notion, Miro and Taskade organize tasks, docs and boards, and Guidde turns browser workflows into how-to videos. The question is where each puts its AI.
  • Capturing meetings. Fireflies.ai, Fathom, tl;dv, Otter.ai, MeetGeek, Avoma and Sembly record calls through a bot or bot-free capture. Granola, Krisp, Jamie, Bluedot, Tactiq, Circleback, Fellow, Read AI and Supernormal take notes in their own ways.
  • Questioning data. Rows and Julius answer questions about tables and files.
  • Working with an assistant. ChatGPT, Claude, Perplexity, Gemini, Grok, Mistral, Manus and DeepSeek handle writing, research and analysis, each with a different free ceiling and paid extra.
  • Managing time, mail and memory. Reclaim and Motion place tasks on a calendar, Shortwave and Superhuman work in the inbox, and Pieces keeps a searchable memory of what you see on screen.

Use the table to find a starting plan for the job you do most.

Job Start with Runner-up, and the trade-off
Run a team project with AI included Wrike Team ClickUp now includes AI credits and lets you choose the model, but Business costs $25 a user
Keep a wiki with full AI Notion Business Taskade lets a small team build agents, though its compliance work is still in progress
Plan visually with agents Miro Business monday has boards and AI credits but sets a three-seat minimum
Keep an archive of every call Fireflies.ai Pro Otter.ai records on mobile as well, but trains on recordings
Coach a sales team Avoma Startup Fathom Premium adds a custom bot and action items
Take notes without a bot Granola Business Krisp also joins no call and adds noise cancellation
Chat, images and voice together ChatGPT Plus Gemini Pro reads long documents with a million-token window
Research with sources Perplexity Pro Manus completes whole tasks in a cloud sandbox but bills in credits
Analyze data Rows Plus Julius Plus handles databases and files and shows its code
Protect your calendar Reclaim Starter Motion adds tasks, docs and notes in one app
Draft and triage email Shortwave Pro Superhuman also works with Outlook but starts at $30

What the price actually buys

Each kind of tool puts its meter in a different place, so compare what a plan counts, not what it is called.

  • Work management. Seats and the AI tier are the meter. Wrike Team includes AI Essentials for 2 to 15 users, Notion Business at $24 a member includes its full AI, and monday's Basic plan gives 1,000 AI credits a month. Asana Starter allows 5 AI requests per user a month, and ClickUp's AI credits now come with its plan price.
  • Meeting recorders. Notes, hours and history are the meter. Fellow Team allows 10 AI notes per user a month, MeetGeek Pro 20 hours, Otter.ai Pro 1,200 minutes and Jamie Plus 20 meetings. Krisp Core and Circleback give unlimited notes, and Fireflies.ai Pro gives 8,000 minutes of storage per seat.
  • Data tools. AI work is the meter. Rows Plus allows 200 AI Tasks a month, and Julius Plus gives 2,000 credits.
  • Assistants. Usage multiples and models are the meter. Gemini's plans double or quadruple the free limits, ChatGPT Plus makes deep research full, Claude Pro opens the Opus and Fable models, and SuperGrok makes conversations five times longer.
  • Calendar, mail and memory. Agents, credits and history are the meter. Reclaim Starter allows 10 AI Agents per seat, Motion's Pro plan gives 7,500 credits, and Shortwave Pro keeps three years of search history.

Which tool fits which worker

  • Managers and team leads. Start with Wrike Team when you want AI included for up to 15 people, or Notion Business when a wiki matters. Add Miro Business to plan visually with agents and invite guests.
  • Sales and customer-facing teams. Start with Avoma Startup for a meeting assistant built for revenue teams, up to 25 seats. Add Fathom Premium for action items and a custom bot, and Circleback when notes must reach a CRM.
  • Consultants and client services. Start with Sembly, which turns notes into branded client deliverables, though video capture needs Pro. Add Granola for notes without a bot.
  • People in back-to-back meetings. Start with Fireflies.ai Pro for an archive of every call. Add Krisp, whose bot-free recording and noise cancellation work at the audio level on your own device.
  • Writers and researchers. Start with Claude Pro or ChatGPT Plus for drafting, and Perplexity Pro when sources matter. Add Rows Plus or Julius Plus when the work involves tables.
  • People who live in calendar and inbox. Start with Reclaim Starter to place work in your day, and Shortwave Pro for AI search and drafting in Gmail. Motion suits anyone who wants tasks and scheduling together, and Superhuman suits Outlook users.

Where the entry plans stop

Limit Tools What happens when you hit it
No free plan Avoma, Krisp, Sembly, Motion, Superhuman, Pieces You pay from the start or use a trial: 14 days at Avoma, seven at Krisp, Motion and Pieces
Small monthly AI count Fellow, Asana, Tactiq, Jamie Ten notes, five requests per user, ten credits or 20 meetings, then a wait
Hours and minutes MeetGeek, Otter.ai, Krisp Extra MeetGeek hours cost more, and Krisp caps accent conversion at an hour a day
Seat rules monday, Fathom, Avoma, Wrike Three seats at monday, two at Fathom Team, 25 at Avoma Startup, 15 at Wrike Team
AI on a higher tier Notion, Wrike, Superhuman, Miro Business plans carry the agents and Ask AI

A per-seat minimum changes the real price: a $12 monday plan costs $36 for three seats. A cap of ten notes suits a weekly stand-up but not a daily one. For tools without a free plan, run your real week through the trial before it ends.

What the cheapest plan leaves out

Many entry plans keep the headline feature for a higher price. Sembly's Basic plan is one seat with audio only, and video, custom templates and multi-meeting chat start on Pro. Avoma keeps full coaching, call scoring and cross-meeting search for add-ons or Enterprise. Motion's cheapest plan carries half the credits of Business AI, and Superhuman Mail keeps Ask AI and its MCP server for Business.

Some limits are about size. Bluedot's Basic plan is audio only, with video on Pro, and Krisp Core holds 10 GB of storage against 60 GB on Advanced. For assistants, the extras are model access: ChatGPT Go leaves out the newest models, and Mistral Pro adds full Vibe access.

Privacy and who sees your text

Paying does not always change what happens to your text, so settle this before you upload client material.

Tool Training on your text
Otter.ai Trains on de-identified recordings and transcripts, no opt-out
Superhuman Trains by default, opt out in settings
Fathom Trains its own models on de-identified meeting data, opt out in settings
Sembly Trains until you opt out, automatic only on Enterprise
Perplexity On by default, opt out in settings
Gemini Trains unless Keep Activity is off, which also ends memory
Grok Trains by default, opt out available
Mistral Trains by default, opt out available

ClickUp, Fireflies.ai, Rows, Julius, Wrike, Circleback, Notion, Fellow, tl;dv, monday, Miro, Bluedot, Jamie, Krisp, Motion, Tactiq and Pieces all state that they do not train on your content. Pieces keeps its memory on your own computer, Avoma hosts on Amazon Web Services in the USA, and Tactiq runs only in the United States. For client calls, pick from the do-not-train group.

Mistakes to avoid

  1. Buying per-seat pricing as if it were per person. monday needs three seats, Fathom Team two, and Avoma Startup suits up to 25. Total the seats before you compare prices.
  2. Starting a trial you cannot test properly. Krisp, Motion and Pieces give seven days and Sembly one meeting hour. Plan your real calls and tasks before you begin.
  3. Expecting video from an audio plan. Bluedot Basic and Sembly Basic are audio only. If you need video, start on Bluedot Pro or Sembly Pro.
  4. Treating "AI included" as one thing. Wrike Team includes AI Essentials, while Copilot and agents wait for Business. Read which features sit in which tier.
  5. Uploading client calls to a tool that trains. Otter.ai gives no opt-out, and Superhuman, Sembly, Perplexity, Gemini, Grok and Mistral need a setting changed. Check first.

When it is worth paying more

You have outgrown an entry plan when the limit sets your schedule: you rewrite notes by hand because the AI count ran out, split a project to fit a cap, or lose history you needed.

If you are Upgrade to What changes
Sending notes into a CRM Circleback Individual Unlimited meetings, automations and integrations
Running calls for a sales team Fathom Premium Advanced summaries, action items and a custom meeting bot
Researching daily ChatGPT Plus Full deep research, GPT-6.1 Sol, GPT-6 Astra and scheduled tasks
Writing and coding Claude Pro The Opus and Fable models plus deep research
Asking data questions weekly Rows Plus 200 AI Tasks and 5 MB imports
Needing AI across a Wrike team Wrike Business Copilot, AI Agents and annual billing
Wanting video recordings Bluedot Pro Video capture with no limits on meeting length

Annual billing changes the price. Krisp Core is $16 a month or $8 on annual billing, monday lists a lower total on annual billing, and Wrike Business is annual only. Wrike gives a 14-day trial with no card, Avoma 14 days with every add-on enabled, and Pieces seven days with a card.

Using two tools together

Because the plans count different things, one paid tool plus a free one often beats a larger subscription.

  1. Record on a free plan. Let Fathom or Fireflies.ai capture calls without a count, and pay for Circleback only if notes must reach your CRM.
  2. Think in a free assistant. Use ChatGPT, Gemini or Grok on their free plans for quick questions, and pay for whichever one has the extra you miss.
  3. Pay for the day plan. Put your budget into Reclaim or Motion so the work from steps one and two lands on the calendar.

Another pairing for small teams is Wrike Team for work and Granola for notes taken without a bot.

How we picked

Every tool here is ranked by its score, and each score is worked out from the vendor’s own published pages: pricing, plans, features and terms. No score is adjusted by hand. 62 of the 66 tools have enough published facts to show a score, and on average 89% of each score comes from facts the vendor publishes. The facts behind these scores were checked between 21 September 2026 and 3 November 2026.

Scores compare tools that do the same job, which is why the list is grouped by job: a video editor and a grammar checker are never ranked against each other.

Common questions

Is a free AI note taker for meetings enough, or should I pay?

Free is enough when you mainly need transcripts: Fireflies.ai, Fathom and tl;dv record without limit. Pay when you hit the AI side. tl;dv Pro removes the 10-meeting cap on AI notes, Circleback Pro removes the 30-day history cap, and MeetGeek Pro takes you from three hours to 20. Avoma, Krisp and Sembly offer no free plan to compare against.

Are free AI project management tools enough, or should I pay?

ClickUp's free plan counts no tasks and includes AI credits, so pay only for guests or more AI. Wrike's free plan stops at 200 active tasks and brings AI Essentials with Team. Asana's free plan stops at two users, and monday needs three seats once you pay. If AI drafting matters, Wrike Team and Notion Business include it in the plan.

Is there a free AI assistant like ChatGPT that matches the paid plans?

The free plans of ChatGPT, Claude, Gemini, Grok and Mistral cover everyday chat, so paid plans sell extras. ChatGPT Plus and Perplexity Pro make deep research full, Claude Pro opens Opus and Fable, Gemini Pro brings a million-token window, and Grok Lite adds video creation. Choose the extra you actually miss.

Which AI productivity tools have no free plan at all?

Avoma, Krisp, Sembly, Motion, Superhuman and Pieces. Their trials differ: Avoma gives 14 days with no card, Krisp and Motion seven days, Pieces seven days with a card, and Sembly one meeting hour. Superhuman has no trial listed. If you want to test before paying, the free meeting and calendar tools elsewhere on this page are a safer start.

Which paid AI note taker works without a bot joining the call?

Krisp records bot-free by default on Zoom, Teams, Google Meet and Slack Huddles. Granola, Jamie, Tactiq, Supernormal and Bluedot also avoid a visible bot, and Fireflies.ai, Circleback, tl;dv and MeetGeek offer a bot-free mode next to a bot. Avoma offers bot-less native recording beside its standard bot, while Motion's notetaker joins calls and Read AI joins only as a visible participant.

Which plan suits a team of two or three people?

Wrike Team covers two to fifteen users and Asana Starter has no seat ceiling. Fathom Team needs two users, and paid monday starts at three seats. ClickUp's free plan already has unlimited members, so a team of three can start there and move to Core later. Rows allows ten guests on Plus.

Do paid plans stop AI training on my data?

Not by themselves. Otter.ai, Superhuman, Sembly, Gemini, Grok and Perplexity keep training on by default for individual accounts unless you opt out, and Sembly makes opt-out automatic only on Enterprise. Krisp, Motion, Fireflies.ai, Notion and Miro state that they do not use your content for training, so the plan matters less than the vendor.
