How the Spec Score works

Scored from what Grain publishes on its own site. Not a hands-on test.

Compared with 20 AI meeting assistants. Facts checked 22 Oct 2026.

A fact the vendor does not publish gets half the points, or the typical value for a number, and says so. It never counts as a no. How we score.

Grain records meetings and turns them into AI notes, action items and video clips, through a bot or through a desktop app that records without one. It has a free forever plan and two priced paid tiers below Enterprise, so what decides whether it suits you is whether the free plan's 45-minute meeting limit and 30-day history are enough, and whether you need the CRM sync and coaching that start on Business.

What is Grain?

Grain is an AI notetaker and conversation intelligence tool made by Grain Intelligence Inc. It records meetings, writes AI notes and action items, and adds coaching and CRM sync for teams on its Business plan. It runs in the browser and as a desktop app for Mac and Windows. Every version needs an account, and desktop capture also runs through Grain's cloud.

What Grain captures from a meeting

Grain records video calls on Zoom, Google Meet, Microsoft Teams and Webex, as well as Slack huddles and in-person meetings. With the Grain bot in the meeting you get a video recording. The desktop app transcribes your computer's audio with no bot joining the call, and desktop capture is on the free plan.

Grain transcribes and writes AI notes in over 130 languages. Its AI Notepad, on the free plan, shows live notes and the transcript during the meeting and lets you create clips as you go. Every plan gets AI notes and action items; Starter adds advanced AI notes, custom AI prompts and custom note templates, and Business adds custom follow-up emails.

You can search your whole meeting library and get answers with citations. Recordings can be cut into shareable video clips, grouped into playlists and combined into highlight reels. On Business, Grain adds AI coaching with scorecards, team interaction metrics and trackers, and syncs notes and properties to HubSpot or Salesforce contacts and deals.

Working with other people

Every Grain workspace has paid seats and free viewer seats, and it can be organized into teams. Grain connects with Slack, Zapier, HubSpot, Salesforce, Aircall, Google Calendar and Microsoft Calendar, and with Claude and ChatGPT. A personal API comes with Starter, and Business adds a workspace API. Basic MCP access is on the free plan and advanced MCP access is on Business.

Grain pricing: what each plan gives

Grain pricing screenshot
Grain, Pricing

Free costs nothing and gives unlimited meetings of up to 45 minutes each, AI notes and action items, the AI Notepad, desktop capture, basic MCP access, 30 days of meeting history and unlimited notetaker seats.

Starter costs $19 per seat a month, or $15 per seat a month billed yearly. It removes the meeting length limit, keeps unlimited meeting history, allows 10 file uploads a month and adds advanced AI notes, custom AI prompts and note templates, and a personal API. Business costs $39 per seat a month, or $29 per seat a month billed yearly, and adds unlimited file uploads, AI coaching, custom follow-up emails, CRM sync, the workspace API and advanced MCP access. Enterprise is priced through sales and adds SAML single sign-on.

Free viewer seats are unlimited, so people who watch recordings and clips do not need a paid seat. A 14-day free trial is available.

Privacy and security

Grain is SOC 2 Type II certified and GDPR compliant. All data is hosted on Amazon Web Services in the USA, and there is no EU hosting option. Every call recorded with Grain includes a personalized recording disclaimer for the people in it, and Grain never sells your data. SAML single sign-on is on the Enterprise plan. Support runs through email and a help center.

Who Grain suits

Grain suits sales and customer teams that want clips, highlight reels, coaching scorecards and HubSpot or Salesforce sync in one place, with free viewer seats for the people who watch. Larger teams can organize their workspace into teams and connect it to Slack, Zapier and Aircall. It also suits anyone who wants a free plan with bot-free desktop capture, live notes and MCP access to start on.

It suits less well anyone who wants to stay on the free plan but holds meetings longer than 45 minutes or needs history beyond 30 days. Teams that need their data hosted in the EU will not get that option, and teams that want CRM sync or coaching have to move to Business rather than Starter.
