How to choose an AI automation tool

First decide whether you need steps that run the same way every time or an AI that decides what to do next, then compare what a month of runs really costs.

  1. 01

    Workflows or agents

    Workflow tools such as Zapier, Make and n8n connect your apps into steps that run the same way every time. Agent builders such as MindStudio or Relevance AI let an AI choose the next step and call tools as it goes. Sales and marketing agents such as HubSpot’s work inside a platform you may already use.

  2. 02

    Count runs, not plans

    Every vendor counts usage its own way, in tasks, operations, credits or executions, so plan prices do not compare. Put the same monthly workload through each one. That is how we price the workflow tools here: on a thousand five-step runs a month.

  3. 03

    Where your data goes

    An automation tool holds the keys to your other apps. Check that it connects to the ones you use, whether it holds a SOC 2 report, and whether it trains AI on your data. If data must stay in-house, n8n and Activepieces can be self-hosted.
